SalesTrack privacy policy
This policy covers the SalesTrack Android app
(com.terransight.salestrack) and the SalesTrack web dashboard.

Who is responsible for your data
SalesTrack is a field sales and distribution tool sold to businesses. Your employer — the distributor or company that issued your SalesTrack account — decides what is collected and why, and is the data fiduciary (controller) for that data. Terransight builds and operates SalesTrack on your employer's behalf as a data processor.
If you want your data corrected or deleted, the fastest route is your employer's SalesTrack administrator. You can also contact us directly at privacy@terransight.com, and we will act with your employer.

What SalesTrack collects
| Account details | Your name, employee ID, work phone number, role, assigned route, reporting manager and organization. Created by your employer's administrator — SalesTrack has no public sign-up. |
|---|---|
| Precise location | GPS coordinates, accuracy and timestamp, collected only while your workday is active — including when the app is closed or not in use. See the section below. |
| Photos | Attendance selfies taken at start and end of day, and photos of shops, receipts and proof of delivery captured during visits. |
| Field work records | Check-ins and check-outs, visit outcomes, orders, payment collections, stock movements, leave requests and notifications. |
| Device information | Device model, Android version, app version and a device binding identifier used to keep your account tied to one handset. |
| Diagnostic logs | App error and sync logs, which you can review in the app under Profile → Diagnostics and choose to send to your office when reporting a problem. |
SalesTrack does not collect your contacts, SMS messages, call logs, browsing history, installed app list, microphone audio, health data or financial account details.
Location collected in the background
SalesTrack collects location data to record your assigned route, verify shop check-ins and confirm attendance for your employer, even when the app is closed or not in use.
- Collection starts only when you tap Start Day in the app, and stops the moment you end your day. It does not run on days you have not started, after you end your day, on approved leave, or after you sign out.
- While collection is running, Android shows a permanent SalesTrack notification on your phone. It cannot be dismissed while your day is active.
- Points are recorded at a coarse cadence — roughly every 50 metres of movement, batched about once a minute — not continuously, and the app requests balanced rather than maximum accuracy.
- Your organization's administrator must enable duty tracking before any collection can happen, and you must accept the in-app disclosure before Android asks for the permission.
- Location is used to draw your route on your manager's dashboard, to confirm that a check-in happened at the retailer's premises, and to timestamp attendance.
- Location is never used for advertising or analytics profiling, is never sold, and is never shared with data brokers.
You can withdraw the background location permission at any time in Android Settings → Apps → SalesTrack → Permissions. Route tracking then stops. Attendance and visit features that depend on knowing where you are will not work until it is granted again, and your employer may treat an untracked day as an attendance exception.
Why each permission is used
| Location (precise, while in use) | Confirms you are at the retailer when you check in and out, and records your attendance point at start and end of day. |
|---|---|
| Location (all the time / background) | Records your route while your workday is active and the app is in the background or closed. |
| Camera | Takes attendance selfies and photographs shops, receipts and delivered goods as evidence for your employer. |
| Photos (Android photo picker) | When you attach an existing photo, Android's system photo picker returns only the file you select. SalesTrack does not get access to your gallery. |
| Notifications and foreground service | Shows the permanent notification while location is being collected, and keeps sync running reliably. |
Who your data is shared with
- Your employer. Administrators and managers in your organization can see your route, attendance, visits, orders, collections and the photos you capture. This is the purpose of the product.
- Service providers we use to run SalesTrack: cloud hosting and object storage for the database and photos, and Google Maps for displaying maps and geocoding addresses. They process data on our instructions only.
- Authorities, where we are legally required to disclose data.
- Nobody else. SalesTrack contains no advertising SDKs, no analytics SDKs that profile you, and we do not sell or rent personal data.
How long data is kept
- Location points on your phone: kept until synced, then deleted after your organization's local retention window (7 days by default).
- Location history on the server: kept for the retention period your employer configures, then deleted. [TODO: state the default server retention period agreed with customers.]
- Photos, visits, orders and collections: kept for as long as your employer's account is active, because they are business records of the transaction.
- Account details: kept while you are an active user of your employer's account, and deleted after the account is closed as described in the deletion section.
- Diagnostic logs: capped on the device and retained on the server for a short troubleshooting window. [TODO: state the log retention period.]
How data is protected
- All traffic between the app, the dashboard and our servers uses HTTPS with modern TLS.
- Session tokens are held in Android's encrypted secure storage, and the app's own backup is disabled so field data is not copied off the device by Android backup.
- Your account is bound to a single registered device.
- Access to production data is limited to staff who need it to operate the service.
Your rights
Under India's Digital Personal Data Protection Act, 2023 and comparable laws elsewhere, you can ask to access the data held about you, have it corrected, have it erased, and nominate someone to exercise these rights on your behalf. Because your employer decides what is collected, requests are handled together with them.
Grievance Officer: [TODO: name of the Grievance Officer], privacy@terransight.com. We respond to grievances within 30 days.
To request deletion, see data deletion.
Children
SalesTrack is a workplace tool for employed adults. It is not directed to children, and we do not knowingly collect data from anyone under 18.
Changes to this policy
If we change what we collect or why, we will update this page and the effective date above, and — where the change is significant — show the revised disclosure in the app before it takes effect.
